    The Receptionist position provides the professional and efficient managing of visitors, clients, telephone calls and messages, as well as a variety of clerical duties that support client services and the presentation of a professional office.

    POSITION DETAILS:

    This is a part-time/full time position. (8:30 am to 1:00 pm and/or 1:00 pm to 5:30 pm)

    Essential Job Functions

     Promptly, accurately, professionally and courteously receive, direct and relay telephone and fax messages
     Acquaintance with use of all features of the telephone system and voice mail
     Transmit fax messages as needed
     Assist clients/staff/volunteers/visitors by announcing arrival for appointment to appropriate staff
     Provide cashiering duties as needed, including deposit of payment in safe
     While on duty, ensures the reception station is staffed 100% of the time
     Notify clients and staff members of staff absence
     Obtain postage for daily mail and deliver to mail box
     Ensure that office equipment is equipped with supplies as needed
     Coordinate the repair and maintenance of office equipment
     Ensure the all suites are secured and armed before leaving the property in the evening
     Maintain a thorough working knowledge of and adhere to agency’s policies and procedures
     Keep immediate supervisor well-informed of activities, results of efforts and problems identified/potential problems; recommends corrective actions to immediate supervisor
     Respect confidentiality in discussing client, staff, volunteer and organizational matters
     Perform routine office tasks necessary for the operation and presentation of a professional office, including ensuring tidiness of waiting room
     As needed, assist with clerical tasks to include typing, filing, proofreading, and maintenance of assigned Avatar reports and data entry to various spreadsheets
     Report to work regularly and on time
     Assist in other duties as needed and directed by Support Team Leader or any Terra Nova Director
     Complete mandated reporting according to legal guidelines
     Comply with HIPAA standards and regulations

    Knowledge, Skills and Abilities
     Ability to organize, manage, and prioritize workload with direction
     Good written and verbal communication skills
     Ability to utilize multi-line phone system
     Ability to multi-task during busy situations
     Good working knowledge of Microsoft Outlook, Word and Excel
     Ability to type a minimum of 40 words per minute
     Ability to receive payments, provide receipts and process credit card transactions

    REPORTING

    Receptionist reports directly to the Support Staff Team Leader

    MINIMUM QUALIFICATION

     Two years experience in reception for mental health system of care
     High school diploma.

    PHYSICAL REQUIREMENTS

     Light Carrying: Physically transporting items weighing less than 15 pounds from one location to another
     Grasping: Applying pressure to an object with fingers (including thumb) and palm
     Light Lifting: Raising objects under 15 pounds from a lower to a higher position or moving objects horizontally from one position to another
     Repetitive motion: Substantial movements of the wrists, hands, and/or fingers for sustained periods of time
     Sitting: Particularly for sustained periods of time
     Visual Requirement: Enough to be able to see and read PC screens
     Hearing Requirement: Enough to be able to understand what clients, peers, and supervisors are saying in normal conversation

    COMPENSATION

    This position has a base compensation of 11.00 dollars per hour.
