Part Time HR Representative (Roseville)

  • Jensen Corporate Holdings, Inc a premier provider of landscape construction & maintenance services in Northern California is seeking a Part — Time experienced & Bi-Lingual Human Resources Representative.

    SUMMARY:
    This position works under the supervision of the Human Resources Manager and is responsible for the Human Resources and administrative support. Responsibilities include; HRIS entry, record keeping, file maintenance, employee relations, translations, Workers’ Comp follow up, administration of health and welfare plans, and variety of administrative, office management, and clerical functions.

    ESSENTIAL DUTIES AND RESPONSIBILITIES:
    Human Resources Duties
    • Administers various human resources plans and procedures and assists in development and implementation of personnel policies and procedures.
    • Responsible for creating and maintaining confidential personnel files, medical files, and processing personnel actions.
    • Maintains Human Resource Information System (HRIS) records and compiles various analytical reports from database.
    • Verifies employment status, and assists with personnel projects, translations, training.
    • Administers Company uniform plan; including set up, changes, terminations, and processes monthly uniform billing.
    • Enters and maintains Company drivers in the DMV Pull Program.
    • Administers health and welfare plans including enrollments and terminations. Processes required documents through payroll and insurance providers to ensure accurate record keeping and proper deductions.
    • Processes monthly billings from insurance providers. Reviews billings for accuracy, codes and advances for payment. Resolves discrepancies with carriers, payroll and the company.
    • Participates in recruitment effort, prepares recruitment ads and job postings, reviews applications and interviews applicants to match experience with specific job related requirements, conducts reference checks and helps to coordinate the use of temporary employees.
    • Maintains records, reports, logs, applicant flow procedures to conform to EEO regulations.
    • Conducts new employee orientations to, ensure employees understand benefit plans and enrollment provisions. Counsels employees on plan provisions so that individuals can informed benefit decisions.
    • Verifies, updates, and maintains I-9 documentation.
    • Oversees annual open enrollment period. Arranges for distribution of materials from carriers, assists with, communicating changes to employees and arranges for on-site representation by providers, Conducts employee presentations. Processes changes within deadlines.
    • Assists in exit interview process and termination paperwork.
    • Responsible for Worker Comp claims; follow up, and incident log preparation.
    • Sort paychecks, attach time cards and payroll attachments and distribute to managers on an as needed basis.
    • Act as liaison to Safety Manager and assist with branch safety items or issues.
    • Performs other duties as assigned.

    Administrative Duties
    • Answer phone in a polite and courteous manner and process calls as required (i.e. route calls to appropriate personnel, voice mail, and dispatch emergencies to correct dept.)
    • Supports Division President and senior managers.
    • Coordinates appointment schedules by planning and scheduling meetings, conferences, teleconferences, travel, and reservations.
    • Prepares agendas for meetings, reserves and prepares facilities.
    • Prepares outgoing mail and correspondence, including e-mail and faxes.
    • Types memos, purchase requisitions, payment requests and other department forms and documents.
    • Conducts research, and compiles and types reports as needed.
    • Organizes and maintains file system and files correspondence and other records.
    • Makes copies of correspondence or other printed materials.
    • Maintains supply inventory for manager by checking stock; anticipates needed supplies; coordinates with facilities to place orders for supplies.
    • Orders and distributes business cards and Company stationery

    PHYSICAL DEMANDS AND WORK ENVIRONMENT:
    While performing the duties of this job, the employee is frequently required to sit; use hands to finger, handle, or feel, use computer, use ten-key, talk, and hear. The employee is regularly required to stand; walk reach with hands and arms, and bend at mid waist. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, color vision, depth perception and ability to adjust focus.

    While performing the duties of this Job, the employee is usually in an office setting and occasionally exposed to job sites in outside weather conditions. The noise level in the work environment is usually moderate.

    QUALIFICATIONS, KNOWLEDGE, AND SKILLS:
    • 2-4 years experience in Human Resources field.
    • Requires working knowledge of human resource laws, practices, regulations, and payroll.
    • Must have HRIS experience in ADP Workforce Now a plus.
    • Ability to maintain confidentiality and assume responsibility to carry out all assignments in a proficient and professional manner.
    • Must be detail oriented, organized with the ability to understand, evaluate prioritize workload, and provide a high level of customer service while responding to changing deadlines.
    • Ability to manage multiple assignments and projects independently and simultaneously.
    • Excellent interpersonal, verbal, and written communication skills.
    • Proficient in Microsoft Office including; Word, Excel, Access, Power Point and Outlook; moderate Excel skills needed.
    • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
    • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
    • Experience working in a multi-division/company environment a plus.
    • BILINGUAL IN ENGLISH / SPANISH REQUIRED.
