Bookkeeper – Office Manager Part-Time (Roseville)

  • Part-time position, 3 days/week for a full-charge bookkeeper proficient in QuickBooks Pro 2011 for a small service company in Roseville, CA. Duties also include administrative functions to assist all facets of the operational departments.

    Job Duties include:
    Payroll and Human Resources – Utilize QuickBooks Assisted Payroll. Maintain accurate employee accounts. Process hourly, piecework, PTO, 401K contributions and salary for approximately 15 bi-weekly employees utilizing multiple source documents. Maintain documentation for hiring and terminations. Maintain compliance with all government and state reporting requirements, as well as HR compliance.
    Accounts Payable – Enter Contractor fees and generate payments semi-monthly for approximately 1000 transactions for 150 vendors. Entries must be input with accuracy from Order Management system and reconciled semi-monthly. Maintain miscellaneous vendor payments in a timely manner. Code all expenses to proper accounts. Respond to Contractors and vendor inquiries.
    Accounts Receivable – Enter all sales transactions from Order Management system and apply payments in QB and Order Management. Prepare deposits. Issue monthly or weekly statements based on client’s requirements. Provide collection efforts with tact and perserverance.
    General Ledger – Maintain GAAP accounting principles and practices. Provide management with monthly financial statements and various adhoc reports as needed utilizing Excel. Maintain all insurance, leases, subscriptions, memberships, government mandated registrations and licenses. Reconcile bank accounts and credit cards monthly. Verify accuracy of GL accounts monthly. Work with outside CPA for tax planning.
    Administrative duties to support operational functions. Manage office equipment, supplies, facilities, technology. Liaison with outside vendors for services.

    Requirements:
    Proficient in QuickBooks Pro.
    Familiar with Microsoft Office products.
    Able to multi-task and keep track of a myriad of details.
    Accuracy and attention to detail is critical.
    5 years hands-on accounting experience.
    Need to be flexible with hours to adjust for month-end duties.
    Willingness to “wear different hats”.
    Able to work independently and learn quickly.
